ROLE DESCRIPTION
Jack Boyajian Agency is seeking a highly organized and efficient Administrative Specialist to support our insurance agents in attracting and retaining customers. As an Office Assistant within our dynamic agency, you will leverage your keen attention to detail, commitment to exceptional customer service, and proactive sales mindset to excel in this multifaceted role. KEY RESPONSIBILITIES
Customer Service
  • Respond promptly to phone calls and emails from clients and potential clients, ensuring a positive experience.
  • Assist clients with inquiries related to policies, claims, and coverage options, demonstrating comprehensive product knowledge.
Administrative Support
  • Efficiently manage and organize client files and documentation to maintain seamless operations.
  • Schedule appointments for agents and clients, optimizing the agency’s workflow.
  • Maintain an inventory of office supplies and equipment to ensure a well-functioning environment.
Data Entry and Record Keeping
  • Accurately input and update client information in databases or management systems.
  • Maintain detailed records of policy renewals, claims, and correspondence to support agency compliance.
Key Tasks
  • Provide essential support to the Licensed Service Team by assisting with various administrative tasks.
  • Ensure service-related tasks are managed effectively, preventing unnecessary redirection to the sales team.
  • Process client payments accurately and maintain comprehensive payment records.
  • Timely email necessary documents to clients, maintaining a professional standard.
  • Proactively communicate with clients via phone, text, or email to obtain required items for their policies.
  • Assist clients in setting up and accessing their online accounts to enhance service delivery.
Communication
  • Serve as a liaison between clients and insurance agents to facilitate clear and effective communication.
  • Send policy confirmations, renewal notices, and other essential correspondence to clients.
Billing and Payments
  • Assist clients with billing inquiries and ensure accurate payment processing.
  • Track overdue payments and follow up with clients as necessary to maintain positive relationships.
QUALIFICATIONS
  • Strong communication skills, both written and verbal.
  • Detail-oriented with a strong sense of organization.
  • Ability to handle multiple tasks efficiently while maintaining high-quality standards.
  • Familiarity with customer service principles and practices.
  • Basic knowledge of insurance processes or a willingness to learn.
  • Proficiency in using technology and online platforms.
  • Collaborative team player who can also work independently with minimal supervision.
  • Excellent customer service and interpersonal skills, with a proven ability to build and maintain relationships with clients and colleagues.
  • Strong prioritization, time management, and organizational skills to meet deadlines while maintaining a high level of attention to detail.

Compensation $18.00 per hour
