Position OverviewAs an Intern Administrative Specialist, you will assist with essential office operations and customer service tasks under supervision. This role is designed to help you develop your organizational, communication, and administrative skills while gaining insight into the insurance industry.
Key Responsibilities
Customer Service
  • Respond promptly and professionally to client and potential client inquiries via phone and email.
  • Assist clients with billing inquiries, updating customer contact information, and general account assistance without discussing policy coverages.
  • Take messages and relay information accurately to licensed agents as needed.
  • Proactively reach out to clients regarding overdue payments and other account-related matters.
  • Manage underwriting emails, ensuring timely and accurate communication with underwriters.
  • Perform beginning-of-day activities to prepare for efficient agency operations.
  • Request online reviews from satisfied clients to support agency reputation.
  • Schedule insurance review appointments for licensed team members to engage clients proactively.
Administrative Support
  • Organize and maintain client files and documentation accurately.
  • Schedule appointments to optimize agents’ and clients’ time.
  • Manage office supplies and equipment inventory.
Data Entry and Record Keeping
  • Accurately input and update client data in management systems.
  • Maintain detailed records of policy renewals, claims, and correspondence.
Support Tasks
  • Assist the Licensed Service Team with administrative duties to enhance efficiency.
  • Process client payments and maintain accurate payment records.
  • Email necessary documents to clients promptly and professionally.
  • Follow up with clients to obtain required policy information.
  • Help clients set up and access their online accounts.
Communication
  • Act as a liaison between clients and insurance agents to ensure clear communication.
  • Send policy confirmations, renewal notices, and other correspondence.
Billing and Payments
  • Assist clients with billing inquiries and payment processing.
  • Track and follow up on overdue payments to maintain positive client relationships.
Qualifications
  • Strong verbal and written communication skills.
  • Detail-oriented with excellent organizational abilities.
  • Ability to multitask efficiently while maintaining quality.
  • Familiarity with customer service principles; insurance knowledge is a plus but not required.
  • Proficient with technology and online platforms.
  • Collaborative team player who can also work independently with supervision.
  • Strong prioritization and time management skills.
  • Excellent interpersonal skills to build and maintain client and colleague relationships.
  • Enthusiastic about learning and growing in the insurance field.
